How to host a birthday party at a gaming café, with costs and a checklist

A birthday at a gaming café is one of the easiest parties to plan. The entertainment is built in, guests of different ages all find something to do, and nobody has to clean your living room at midnight.

This guide walks you through what it really costs, which cafés in Mumbai and Navi Mumbai openly offer party bookings, and a checklist so nothing gets missed. Prices were checked on 31 October 2026 from cafés' own websites. Most cafés quote party packages on enquiry, so treat our cost examples as estimates.

Which cafés offer birthday parties?

These cafés say on their own websites that they host birthdays or group bookings:

• Simply Gaming (Andheri and Kandivali): Has a dedicated birthday page with customisable packages: high-end PCs and PS5s, a racing simulator, a party space, food and drink menus (pizzas, pastas, burgers, momos), tournaments and team battles. Decorations and return gifts are available but chargeable. You book by calling or WhatsApping the café. On Gamehood: Andheri West and Kandivali.
• Next Level Gaming (several Mumbai branches): The chain says it hosts game-themed birthday parties for kids, with console, PC, arcade, retro and VR options depending on the branch.
• Nexus Gaming Cafe (Ulwe): Mentions "birthday takeovers" in its PS5 lounge and has a private 5-station squad room at ₹500/hour.
• Plug N Play Gaming Café (Malad West): Offers birthday and party packages, VIP rooms and group lounge zones.
• NexArc Gaming Cafe (Goregaon West): Lists birthdays, squad nights and full-café bookings under groups and events.
• Monarch Gaming Lounge (Malad West): Takes group and party bookings on enquiry via WhatsApp.

What does a gaming café birthday cost?

Most cafés don't publish a fixed party package price. They build a quote around your group size, hours, setup and food. But you can get a good idea from their published hourly rates.

Example 1: 8 friends on PS5 for 2 hours

At Plug N Play (squad rate ₹450/hour), two squads for 2 hours: 2 squads × 2 hours × ₹450 = ₹1,800

At LEVEL UP! in Kopar Khairane (4 controllers for ₹280/hour), two consoles for 2 hours: 2 × 2 × ₹280 = ₹1,120

Example 2: 5 friends in a private room for 3 hours

At Nexus (private squad room, ₹500/hour): 3 hours × ₹500 = ₹1,500

Example 3: 6 friends on PCs for 3 hours

At Krypt Gaming in Kharghar, a 3-hour PC pass is ₹150 per person: 6 × ₹150 = ₹900, and Krypt also offers ₹10 off per person per hour for groups of 4 or more.

What's usually extra

• Food and drinks. Almost always charged separately. Some cafés, like Simply Gaming, have party menus.
• Decorations. Simply Gaming lists decorations as optional and chargeable.
• Return gifts. Some cafés sell gaming-themed return gifts (Simply Gaming mentions keychains, posters, mousepads and custom merch).
• Cake. Ask whether you can bring your own and whether there's space to cut it.
• Private room or full-café hire. A premium over normal hourly rates.

Rough budgeting tip: Gaming time for a small group (5 to 8 people, 2 to 3 hours) comes to roughly ₹900 to ₹1,800 at the rates above. Food, cake and decorations come on top of that. Get a written quote from the café so you know exactly what's included.

Picking the right café for your party

For kids (under 12): Look for consoles, racing sims and family-friendly games, plus staff who are used to kids. Next Level and Simply Gaming both mention kids' birthday parties.

For teenagers: A café with both PCs and PS5s works best. Half the group will want Valorant and half will want FIFA. Consider a mini tournament with a small prize.

For adults or a mixed group: A lounge with sofas and big screens, or a private room. Add VR or racing if available so non-gamers have something fun to try.

For a big group (15+): Ask about a full-café booking during off-peak hours. Weekday afternoons are easiest.

Your gaming party checklist

2 to 3 weeks before

• Fix the guest count (roughly) and date
• Shortlist 2 or 3 cafés near most guests
• Ask each café for a party quote: hours, setups, room, food, decorations
• Ask: per console or per controller?
• Ask about age rules, especially for VR or online games
• Confirm the booking and any advance payment in writing (WhatsApp is fine)

1 week before

• Send the invite with the exact address and landmark
• Decide on games and check they're installed (ask the café to install any missing ones)
• Plan a tournament bracket if you're doing one
• Order the cake, or confirm the café's cake policy
• Check the cancellation policy. Some cafés don't refund but give credit instead

On the day

• Arrive 15 to 20 minutes early to set up
• Ask staff to sign guests into the games or set up lobbies
• Keep an eye on the clock. Extra time is usually billed
• Take photos and get the group shot before people leave

For kids' parties

• Share the café address and pickup time with parents
• Keep a list of guests and a parent's phone number for each
• Ask the café which games are suitable for the age group

Party game ideas that work at a café

• FIFA or EA FC knockout tournament on PS5. Easy to follow even for spectators.
• Racing time trial on a sim rig, with a leaderboard on a whiteboard.
• Party games on a big screen for mixed groups.
• Valorant custom match for PC players, birthday person picks the map.
• VR turns for everyone, if the café has headsets.
